To cover a spike in ecommerce returns, set aside cash for refunds, check when your platform will take the money, and protect funds for essential bills. Pause spending that can wait. Fundo offers $500 to $10,000 in revenue-based funding, subject to approval. This may help with a brief gap if future sales can support the cost. First, work out why returns have risen.

A busy sales week can look very different once refunds start to hit. The goods may still be on their way back while wages, rent, and shipping bills are due.

For the broader funding picture, read How Can Amazon Sellers Get Business Funding?. Here, we will focus on what to do when sales turn into refunds.

Where does the money for a refund come from?

Check your payment account before you rely on the next deposit. A refund can reduce cash you expected to use for other bills.

For example, Shopify Payments deducts refunds from your next available payout. For U.S. stores, an extra rule applies when that payout falls short. Shopify takes the balance needed from your bank account. This happens outside the normal payout schedule. The fee for the original card payment is not returned, either.

Amazon also adjusts seller payouts for refunds. It may not send a payout when expenses or refunds leave your selling account at zero or below. Cash held in an Amazon reserve is also unavailable to spend until released.

These details matter because the refund amount is only part of the picture. Return labels, checks, repacking, and damaged goods can add costs. Meanwhile, returned stock does not pay a bill until you sell it again and receive the cash.

Build a cash plan for the refunds already due

Start with the next seven days. List each refund, when the money will leave, and which account will cover it. Add return costs and bills due, including wages, rent, shipping, taxes, and existing funding payments.

Then compare those needs with cleared cash and expected net payouts. Leave out funds still on hold.

Here is a made-up example. Assume the payout arrives before the listed bills are due:

  • Cash available: $1,800 in the bank plus a $1,200 net payout gives you $3,000.
  • Cash needed: $1,800 in new refunds, $300 in return costs, and $1,700 in essential bills totals $3,800.
  • Cash gap: $3,800 minus $3,000 leaves an $800 shortfall, before any extra buffer or new funding costs.

The $1,800 in new refunds has not yet been taken from the payout estimate. Count each refund once. If your payout already reflects a refund, do not subtract it again as a separate cost.

Check dates as well as totals. A payout due Friday cannot cover a bank debit due Monday. Update the plan as new return requests arrive.

Check what you can resell before you reorder

Inspect each item and decide whether it can be sold again, needs repair, or cannot be resold. Record the likely net cash from resale after any discount, fees, and extra handling. Then estimate when that cash could reach your bank.

Keep any cash you might get from resale separate from the cash you have now. Some goods may come back too worn or damaged to sell.

Also, check your stock counts before buying replacements. You may already have enough usable goods coming back. If a fresh order is still needed, How Can Online Sellers Finance Inventory? explains how to work out the restock cost and margin.

What can cover the remaining cash gap?

Start with options that fit the size and length of the shortfall:

  • Use a planned refund reserve. This avoids a new funding cost, but leaves less cash for the next surprise.
  • Pause optional spending. Delay a new product launch or extra stock order if it can wait. Keep required refunds and essential bills in the plan.
  • Ask a supplier for more time. An agreed extension may ease pressure on other bills. Check added fees or any lost discount, and get the terms in writing.
  • Compare business funding. An existing credit line or revenue-based funding may help with a brief gap. Review the full cost and the effect on later cash flow.

Fundo’s starting rules include at least $1,500 in average monthly revenue and three months in business. You also need steady account activity and must complete bank verification. Fundo reviews cash flow and the bills you already owe.

With Fundo, you sell an agreed amount of future business sales receipts for cash now. Compare the cash you receive with the total future receipts sold, all fees, and the bank-debit schedule. Ask how to request an adjustment if revenue falls; do not assume debits change on their own.

Funding needs a clear path back to stable cash flow. If returns keep wiping out your margin, more funding will add costs without fixing the cause.

Reduce ecommerce returns at the source

Sort recent returns by product and reason. Then make one clear change based on what customers report.

What customers report What to check first
The item does not fit Size charts, measurements, and fit notes.
Goods arrive damaged Packaging, handling, and faults in a batch.
The product differs from the listing Photos, materials, size, and included parts.
The wrong item arrived Picking, labels, and packing checks.

Track the cash lost to each cause, too. A few costly returns may hurt more than many low-value ones. Use your own order history to set the next refund reserve, then adjust it when your product mix or return pattern changes.

Two questions worth asking before you seek funds

Should I offer an exchange instead of a refund?

An exchange may suit a customer who wants another size or color. Offer it when it fits your policy and the customer’s choice. Allow for shipping and handling, and keep cash ready for refunds you still owe. Store credit also creates a future obligation to supply goods.

Is a chargeback the same as a refund?

No. A chargeback starts when a customer disputes a payment through their bank. For Shopify Payments, the disputed amount and a fee are withdrawn when a chargeback opens. Track these cases separately and check the order’s payment status before sending more money.

Give your next payout a plan

You need a clear number, a plan for the returns, and room to keep the business running. Once those pieces are in place, you can assess whether funding fits.
